Summary

The Office Services Assistant I ensures that the Front Desk is operated efficiently and accurately using both manual and machine-assisted processes. Greets Members, visitors, vendors, and employees professionally at all times. Directs Members to the Branch and ITM onsite and provides badge access as required to visitors and vendors. Also provides temporary badge access to active employees upon request.  Follows department controls, policies, and functions to ensure efficient and accurate services are provided. Primary coverage of Front Desk with assistance to  Office Services and Facilities teams tasks as assigned.

Duties & Responsibilities

  • Greet Members, visitors, vendors, and employees at CAO Main headquarters building.
  • Maintain visitor management system to include documenting all visitors and notifying employees of visitor arrival
  • Maintain the temporary badge stock, documenting usage, adjusting badge access and regularly auditing the system
  • Reconcile and code department invoices. Provide monthly analysis and annual budget support.
  • Respond to ServiceNow requests as needed
  • Maintain user access to a variety of vendor ordering sites according to company policy
  • Liaison for HR department for interview candidates and various training conducted at CAO
  • Greet members, vendors, couriers, job applicants and other visitors in a consistent, professional, and friendly manner adhering to proper security protocol and logging activity.
  • Answer phone calls promptly and courteously and route to appropriate personnel.
  • Perform other duties as assigned.

Requirements

Education and Experience Requirements:

  • High school diploma or equivalent
  • Minimum of (5) years of customer service experience in a corporate environment
  • Three (3) years’ experience operating and maintaining a front desk/reception area
  • Experience managing vendor partners, highly preferred

 

Required Knowledge, Skills and Abilities:

  • Strong organizational and time management skills.
  • Strong verbal and written communication skills.
  • Detail oriented, analytical, PC proficiency in word processing, database applications and spreadsheet design.
  • Ability to interact effectively with all levels of employees and management within the credit union and accomplish daily tasks.
  • Knowledge of basic business and accounting practices.
  • Working knowledge of various software systems and programs.
  • Ability to maintain a high level of confidentiality.

Working Conditions:

  • This position is expected to work in general office environment.
