GENERAL FUNCTIONS: 

Custodial Oversight position is responsible for sending, retrieving, and tracking of original documents from the applicable document custodian and maintaining on-site short-term document storage facility. Request original documents due to foreclosure, re-purchase, payoff, etc. Perform quarterly reconciliation or as requested by client, investor, etc. of documents.  

Duties & Responsibilities

PRINCIPAL ACCOUNTABILITIES:

  • Responsible for sending original documents to the applicable document custodian.
  • Responsible for requesting original documents from the applicable document custodian.
  • Process document reconciliations as requested by clients and the investor/agencies.
  • Assist management with reconciliation and due diligence as requested. 
  • Responsible for continuous evaluation of processes to identify and implement operational efficiencies. 
  • Responsible for maintaining on-site short-term document storage facility.
  • Assists Servicing Client Success Manager with document requests and audit needs of our clients.
  • Develop and maintain positive working relationships by always providing high quality service to internal and external borrowers.
  • Promotes honest and open communication throughout TruHome Solutions.
  • Coordinate deliveries and pickups with our off-site storage vendor, Iron Mountain.
  • Work with other credit union departments to ensure the workflow or process provides the best service to the borrowers.
  • Performs other duties as assigned.

Requirements

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficient experience with Microsoft Excel.
  • Excellent organizational, analytical, and problem-solving skills.
  • Must be able to manage multiple projects simultaneously and work in a fast-paced environment with changing priorities.
  • Ability to work under pressure and with strict deadlines.
  • Ability to self-initiate and work independently without close supervision.
  • Strong ability to communicate effectively in writing and orally.
  • Ability to resolve interpersonal conflict and miscommunications.
  • Knowledge of spreadsheet software and ability to use Word processing software.
  • Ability to maintain a high level of confidentiality.
  • Must be able to be bonded.

PHYSICAL ACTIVITIES:

In this position, individual will be expected to lift up to 20 pounds from time to time. Also, must be able to stoop, bend, reach, or stand for extended periods of time.  Must be able to sit and use a computer for extended periods of time.

 

WORKING CONDITIONS:

This position is expected to work in general office environment.

 

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree preferred and/or equivalent work experience.
  • Mortgage experience preferred.
  • Must be able to work independently.
  • Must be strong handling multiple tasks.
